Scheduling Process

To schedule a videoconference event, go to http://www.netnet.org/request/# and fill out an online request form!

Remember to check for room schedule conflicts with EACH of the rooms participating in the videoconference BEFORE you send in your request.

IMPORTANT INFORMATION ON HOW TO FILL IN THE TIME PORTION OF THE FORM


INSTRUCTIONS FOR FILLING OUT THE ONLINE VIDEOCONFERNECE FORM

My Institution: The name of the host site (instructor site) goes in this field. Example: Angelina College

Department: Put the name of the academic department in this field. Example: History

Event Dates: Please enter the date of the event, or if it is an ongoing event such as a class, please indicate the dates the class will run through. Example: For a class that that will meet all semester, enter
From: January 12, 2004
To: May 6, 2004.

Times: Put the time of the event in this field, including set-up. We STRONGLY suggest that you add 15-30 minutes of set-up time to the beginning of each scheduled event. We also ask that you avoid adding unnecessary time to the end of the conference. Example: For a class that meets MWF from 9:00 a.m. to 9:50 a.m., enter: 8:30 a.m. to 9:50 a.m. to ensure a 30 minute set-up time. Be advised: Scheduling classes back-to-back will not allow for 15-30 minutes of set-up time.

If you have already included a set-up or end of class buffer time, please indicate that by clicking the appropriate radio button on the form.

Remember: NETnet operates on official United States time. If your site does not run on official US time, be sure to take that into consideration when scheduling events with NETnet.

Day(s) of Week Class Meets: Please mark the appropriate box(es) to indicate which days the class meets

Event Bldg and Room Number: Put the ACTUAL building/room number. Example: BUS 257 or TECH 346

Room Type: Please mark appropriate room type. For example, if your room is a NETnet room, mark the box next to _ MPEG (NETnet).

Room Phone: Put the phone number of the phone located in the room where applicable. All NETnet rooms now have an IP phone at each lectern workstation. This phone will only dial out to NETnet tech support or to other NETnet rooms. For NETnet support during business hours, dial "2100" on these phones. After 5:00 p.m., call 903-877-7510.

Credit(s) Available: Please indicate the number of credit hours available, where applicable. Example: 4 CEU

Accrediting Organization: Please indicate the name of the organization that is granting credit for the event or class, where applicable. Example: Texas Department of Health.

Event Title/Class#: Please put the event title or CLASS NAME AND NUMBER in this form field. Example: Intro to History HIST 1301

Event Description: Please provide a brief description of the event or class. Example: Survey course on Early American Literature.

Event Coordinator (Name; Phone; Cell/Pager; Email): Please provide ALL the requested information so we can contact the event coordinator if necessary.

Technical Coordinator (Name; Phone; Cell/Pager; Email): Please provide ALL the requested information so we can contact the local technical coordinator if necessary

Site # Information (Site Name; Bldg Name & Room Number; Room Type; Room Phone)
Please enter all the requested information for each remote site in these form fields, and mark the appropriate room type. Example:
Angelina College
TECH 346
X MPEG (NETnet)
936-456-1234

If you are connected to more than one remote site, please fill out Site 2, Site 3, etc.

Site # Technical Coordinator (Name; Phone; Pager; Email): Please provide ALL the requested information so we can contact each remote site's technical coordinator if necessary.

If you would like a carbon copy of the request, fill in your email address at the bottom of the page

If you prefer a hard copy, you may print the confirmation page that appears after you submit your request.
