Lectern Workstation and Components
I have some software I want to add to the Lectern Workstation
PC. Is that ok?
NETnet member institutions may load any programs they wish onto the Lectern Workstation PC. However, in the event of a problem NETnet will provide a ghost disc (CD-ROM) with the original configurations to start over. The hard drive will be wiped clean and all non-standard installations will be lost.
IMPORTANT NOTE: Keep in mind that adding/modifying additional hardware/software may affect the terms of your service and repair contracts. Please contact NETnet before adding software/hardware.
Yes, but only use distilled water and a soft cloth.
Do I have to press the Press for Full Screen Video bar to
get the full screen view?
No, you can press anywhere inside the video window. Remember to press the screen again to return to the regular view.
All my controls
are gone from the panel, and I just see the PC screen. How do I get the controls
back?
Touch the screen anywhere to return to the normal viewing mode. You may have inadvertently pressed the "press for full screen video" bar.
What
happens to the system if you press the Instructor or Student Site Mode button
and no conference is scheduled?
It will set the presets as if it were connected, but it will not send out audio. If you gear up at 8:50 and the conference is scheduled for 9:30 the audio will not connect until 9:30.

What if I accidentally hit the End Conference button?
Not a problem. When you press End Conference, a dialog box comes up asking you if you're sure you want to end the conference. If you pressed the End Conference button by mistake, just press 'No' to take you right back where you were.
Even if you accidentally hit "Yes' that's still not a problem. Since the buttons on the touch panel don’t control the connection (the connection is scheduled and set up/controlled by NETnet), you haven’t really ended the conference. You can start over - follow the procedures to begin a conference and you'll get right back into the connection.
What if I’m sending from a NETnet room to a non-NETnet room and accidentally
hit the End Conference button. Will I still be connected?
Yes. The bridge is not affected by the kind of room you’re in.
Is it possible to have simultaneous viewing of multiple remote sites
on screen?
Not at present. If this is a feature instructors want, it is possible to add it at some future date.
Will a ringing cell phone disrupt the audio?
Yes. Students and instructors should power off their cell phones before entering the room.
What happens if the remote students “mutiny” and turn off the monitors/projectors?
The system automatically turns monitors/projectors back on, even if the students repeatedly try to power them off.

What happens in a power failure?
The system has a battery back up. When power is restored the system comes up as the default screen pictured in Fig.12 in the User's Guide.
How long do all the bulbs last? How long do the marker and wireless microphone
batteries last?
The video projector bulb will last around 2000 hours; the document camera bulb will also last a long time; it largely depends on usage. Same applies to marker/mic batteries.
Where can I get spare parts?
Contact NETnet for information on replacing projector and document camera bulbs. Wireless microphone, whiteboard marker sleeves/erasers take standard watch batteries that your institution will provide. eBeam components use Panasonic CR 2032 3V Lithium cells (or equivalent). The batteries should last several months under normal use.
You can slip any standard dry erase markers (like Expo or Expo 2) into the marker sleeve. Bullet Points are recommended for accuracy, although Chisel Points can also be used.
The eraser pads are peel-and-stick. Interlink Electronics, the makers of eBeam, sell an Eraser Kit #10-8728 (an electronic eraser with three pads) for $49.95. They also offer a Consumables Kit #20-43989 for $29.95, which contains 10 Batteries, Dry Erase Markers (blue, red, green & black), 3 Eraser Pads, 3 Shortcut Strips, and 1 Digital Stylus. I pressed the volume button
and the yellow bar went up, but the sound didn’t -- so I pressed it again.
Then it was REALLY loud. Why?
There’s a brief delay on the volume bar. Wait about 3 seconds after pressing it before you try to adjust it again.
If I want to mute all the audio coming from my room, which mute button do
I select?
Select the Speaker Volume Mute to mute all audio.

My Document Camera and the Lectern Workstation PC
were not powered on with the rest of the system. Why?
Those are the only two components of the NETnet room that you may have to power on manually. The system will automatically power on everything else, including lowering the projection screen and powering on the projector and TVs.
Is there a manual focus on the Document Camera?
No. To properly focus: zoom in as far as possible on print or object, focus, then zoom out to the desired distance.
Can I write directly on the Document Camera surface?
No. Place a piece of paper on the surface and write on that.
Can the Document Camera share the screen with a video shot of the instructor
(picture-in-picture)?
No. If instructors want this feature, it is possible to add it at some future date.

In the Source Select Bar I see two computer icons: Lectern Workstation and
Presentation Laptop. Where is the Presentation Laptop computer located?
A laptop computer is not provided with the NETnet system. The Lectern Workstation comes equipped with a port for instructors to connect their own laptops to the lectern. Some schools provide their faculty with a laptop for use with the Lectern Workstation.
What is the additional cord (looks like an audio connection)
that’s next to the laptop connection? Does that attach to a laptop?
The bigger cable is the video hookup for the laptop; the smaller cable is the audio hookup. You can attach both to a laptop and play video and audio through the system.
Can I use my laptop to connect to the Internet?
Yes, if your room has an Internet connection. Ask your local tech support person about connecting to the Net.

Do I have to display eBeam on the Lectern Workstation PC to capture my
markings?
No. eBeam software can be minimized and running in the background, and will still capture your whiteboard markings. However, it's MUCH easier for your remote site students to see what you're writing if you have eBeam displayed on the screen, instead of having the Instructor Camera focused on you while you write.
Can I annotate my whiteboard markings after I’ve saved them?
Yes. Files can be saved in a host of image formats including PDF, BMP, JPEG, GIF and TIFF. eBeam also has a native file format, WBD (WhiteBoard Document), which must be used if you plan to work with the file in eBeam again after saving it.
You will not need the eBeam software installed on your personal computer to annotate files. If you save to BMP, JPEG, GIF, or TIFF you can modify your files in any image editor like MS Paint.
Sometimes
when I write on the whiteboard my markings look choppy, like
dashes instead of solid lines. How can I fix that?
Several things could cause this problem:
1. The Pod won't receive signals from the markers unless you press firmly while writing, making certain that the marker consistently makes good contact with the whiteboard.
2. Because the transmitter in each sleeve is near the tip of the marker, holding the marker too close to the tip will block the signal to the Pod.
3. You may also have to adjust the batteries in each marker for them to function properly.
4. Dragging the heel of your hand against the whiteboard as you write might be blocking the signal.
Can I use
regular dry erase markers and erasers on the whiteboard?
Yes, but the eBeam software will not display or capture it.
I accidentally clicked on Delete Page (or Delete All) and deleted a page.
How do I get it back?
Once you delete a page it cannot be recovered.

The eraser/markers are making a buzzing noise. Why?
That’s normal. It means the batteries are good and the eraser/marker sleeve is working. The pens emit a buzzing noise when transmitting successfully.
I just put in new batteries two days ago and they’re already dead. Why?
Make sure the tops of the marker sleeves aren’t pressing against something while they’re in the storage drawer.
Can I buy my own eBeam marker sleeves to take with me to class?
Yes. You can buy them from Interlink Electronics. The following replacement marker sleeves are available at $39.95 each plus shipping:

Can I change the color of the markers?
Yes. You can change the actual dry erase markers to whatever color you want, but the software will still capture the markings according to the color rings on the marker sleeves.*
*You can change the attributes of the marker sleeves to display a line width and/or color other than the defaults by going to Tools —> Sleeve Settings and making your changes. This is the same place to go to restore the default colors — just click on Restore Defaults —> OK in the Sleeve Settings window.
When I opened eBeam, the page had someone else’s markings all over it.
It’s each instructor’s responsibility to clear the screen when they’ve finished in the room.To clear the screen use the Page —> Clear Page button on the eBeam menu bar, or close eBeam without saving.
What if I run out of space on the Whiteboard?
Save your page, open a new page in eBeam and erase the Whiteboard. When you return to the previous page, your work will be there even though it’s no longer on the Whiteboard. It’s a good idea to save your work periodically.

Is
there a remote control for the VCR?
No. The controls for the VCR show up on the Control Panel when VCR is selected from the Source Select Bar.
Can I push the record button on the VCR to record my class?
No. To record your class you MUST press the record button on the VCR controls that appear in the Control Panel. The only button you will touch on the VCR is the Eject button to remove your tape.
I pushed record from the touch screen, it said it was recording, the VCR indicated
a record light - but I only got a black screen.
The VCR should be set to Line 1(L-1) to record properly. If it's not - contact tech support to change it for you. It's always a good idea to run a quick test to ensure the tape is capturing your audio and video.
I was using the search feature on my VHS tape, and tried to pause
the tape. It wouldn’t stop. Why not?
You can’t pause a tape in while in search mode.
If I’m playing a tape on my VCR and sending it to remote classes, can the
distant students hear me if I make comments while the tape is playing?
Yes. All audio (instructor mic and other audio output) from the origination site is sent as ‘mixed audio.’
The VCR isn't loud enough. What do I do?
Check the device volume level and make sure it's set high enough.
When do I use the device volume level?
Use the device volume level to adjust the volume on the lectern workstation PC, the Presentation Laptop, VCR, and AUX Inputs.
Suppose I’m giving a local presentation, but I want to record
it to show it to another class, and I want camera views of the instructor
recorded as well. Can I go into Instructor Mode to record the session
even if I don't have a conference scheduled?
Yes. Be sure to run a quick test first and make sure the tape is actually capturing your audio and video.
If I’m giving a local presentation and want to tape it, will it record a camera
view of the instructor, or just the media that’s displayed?
In Local Presentation Mode, a camera view of the instructor is not recorded; only the media (output from Lectern Workstation PC, Presentation Laptop, Document Camera, etc.). The Instructor mode will record views of the instructor.
Can I use a second VCR* to play a tape, so
that I can use the Lectern Workstation VCR to record the entire class period?
Yes. Just plug the second VCR into the Aux Input area on the Lectern Workstation.
*You must have a second VCR to record the class if you're planning to show a videotape. You cannot simultaneously view and record on the Lectern Workstation VCR.
Be sure to use the second VCR to play your tape - record your class on the internal VCR.

How can I get Internet access if not through the Lectern Workstation PC?
Most Lectern Workstation PC's now have Internet access. Select the Lectern Workstation PC button, and click on the Internet Explorer icon with your mouse.
Alternately, Instructors can bring a laptop and connect it to a campus-supplied LAN connection with Internet access.
IMPORTANT NOTE: UNDER NO CIRCUMSTANCES SHOULD THE SCHOOL RECONFIGURE THE LECTERN WORKSTATION TO USE THEIR LAN AND INTERNET.

What happens if two students push their mics simultaneously?
The system determines which mic was pressed first and that student is heard.
May students move the mics to a different location?
No. The mics are programmed for a particular location and must remain in that spot.
Do the presets on the mics track to an individual student?
No. Presets – pan, tilt, zoom – are set to a ZONE, not an individual student
My student pressed her mic to ask a question but the camera didn’t pan to
her. Why?
Students must push and hold the mics for a few seconds to allow the camera to track to them. The red light indicates that the mic is on.
Is there an audio delay on the NETnet Room student mics?
Yes, but it’s brief. Students should wait one or two seconds after pressing the mic to speak. A good rule of thumb is to ask them to wait until the camera has tracked to them/until they are on camera to begin speaking.

What does the Presenter mic mute
button mute?
The Presenter mic mute will mute both the wireless mic and the instructor mic. If you are in Student mode, the Presenter mic and wireless mike are muted by default.
To give a presentation using the lectern from the student site, both sites may connect as instructor sites (remember to mute the presenter mic on the workstation that will not be presenting to cut down on noise) OR the sites can switch modes by logging off and reentering in the opposite mode.
How will I know when to replace the batteries on the wireless mic?
The battery pack will indicate when to replace the battery – the light turns red when battery needs to be replaced.
In a multi-site videoconference, must local students push mic to talk, or
just the remote students?
If the student wants to be heard everywhere then the answer is yes. A student might be heard everywhere if s/he is sitting close enough to the instructor to be picked up on the instructor's microphone without pressing the mic to talk.
Is this mic setting an instructor preference?
If the instructor wants to repeat the question then s/he can instruct students not to push the mic to talk. If s/he is comfortable with the student’s questions being sent to the other sites then s/he can instruct local students to press the mics to talk.

When I schedule a class, do I have to decide then which type of viewing configuration
I want?
Yes. You can choose from continuous presence (broadcast) or last in-last seen (voice activated).
If I don’t choose one, what is the default viewing configuration when scheduling
conferences?
Last In—Last Seen is the default.
How does Continuous Presence work?
The instructor can see each site, but the remote classes always see the instructor — not each other. Audio from all sites can be heard at all sites.
What does the Choose Site To Broadcast
button do?
If you're in a continuous presence/broadcast conference, the instructor site can manually select which site is seen on screen by selecting the Choose Site to Broadcast button. This feature does not work in last in-last seen/voice-activated switching mode.
How does Last In-Last Seen work?
LILS is audio-driven, meaning whoever speaks gets on screen. It’s voice activated switching among sites; the loudest sustained audio will display on screen.
Which is more interactive -- continuous presence, or last
in-last seen?
Last in-last seen, because it has bi-directional links – students can see each other as well as the instructor.
If the presenter mic and wireless mic are always muted at the student sites,
how can a student give a presentation using the media sources on the Lectern
Workstation?
You have two options:
Option A: Both sites may connect as Instructor sites so the presenter mic is functional at the (remote) student site
Option B: Instructor and Student sites may 'switch' modes mid-conference by logging out and reentering the conference in the opposite mode

How do I direct the camera to a student
asking/responding to a question?
If you select Auto Student Cam Position on the touch panel, the camera will automatically track to the student mics as they are pressed. Alternately, you can use the arrow and zoom keys when Student Camera is selected on the Source Select Bar.
Can I zoom in on a particular student?
Yes, by using the camera controls on the Control Panel when the Student Camera is selected.
If the power goes out, what happens to the student camera presets?
The student camera presets will be unaffected by a power outage.
Will my Teacher Camera presets ever change?
Yes. Each instructor has the option of individualizing camera presets, depending on his or her style of teaching. If you plan to use Teacher Camera presets, arrive to class a few minutes early to personalize them.

Automatic Tracking (Chasing) Feature
I turned on the automatic track but the button didn't stay yellow. Is
it on?
Yes. The button will briefly FLASH yellow to indicate it has been activated.
I tried to turn on the AE (automatic exposure/backlight) button and the Auto
Zoom button but they didn't work.
Try pressing them twice in quick succession, or until the words AT AE and AT Auto Zoom appear onscreen.
I turned on the automatic track but there is no text on the screen - the numbers
and all the information is missing. I just see the white box.
Press the button marked Data Screen to view the text onscreen and set up the auto tracking.
Can I walk around the room, away from the Lectern Workstation,
and still be tracked by the camera?
Sure. Choose the Chase 2 or Chase 3 option to move around the room. Remember not to turn your back on the camera, or the track might lose you and you’ll have start the track over.
When the camera’s automatic track loses you, does it return to a default
shot?
No. It locks on to something in the room.
Every time I walk in front of
the projection screen the auto-track loses me. Can I raise the screen?
If you will not be using the projection screen, you can turn the projector off by pressing the Proj Power button and raise the screen by pressing the Projection Screen up arrow. Be aware that you’ll need to allow some time (3-5 minutes at most) for the projector to warm up if you’ll be using it later in the class
Does the camera track the instructor’s wireless mic?
No. The camera tracks based on color, so wear something that is distinct from your background –the camera tracks you, not the wireless mic.
The tracking box was working fine, then it got real big. What happened?
If the tracking box gets too big that means the tracking device has lost you. If this happens, start the track over.
What if the track loses me? Is there a quick way to get it back?
Yes. When you get to class, set the Preset 1 to a shot of you standing at the lectern. If the track loses you, you can return to the lectern, select Teacher Camera --> Presets --> Preset 1 and the track will resume.
Can I leave the data and tracking box onscreen?
If you do, the remote class will be able to see it, too! Remember - everything you see in the right hand TV monitor is what the remote class sees.

Can I control any remote site?
No. You can remotely control any NETnet room. It is possible to connect to a non-NETnet room, but you will not be able to control it from your Lectern Workstation.
How do I control a remote site?
Click on the Control Remote Site button. Select the site you want to control from the list of sites you're connected to.
How
do I get back to controlling my local site after I've been controlling a remote
site?
Press the Control Local Site button.
How can I tell which site I'm controlling?
Look at the upper left hand corner of the control panel. It will read: Controlled system: [Name of system]
My remote site is having trouble with their volume.
What can I do?
Check the incoming volume level to ensure it's up high enough. If a remote site is having volume trouble, it could be a problem at the remote site; they may have their volume muted or turned down. You can control their site remotely and toggle the mic mute/turn on their volume.
How can I show my local students what's going on at the remote
site?
Press the Send Remote to Projector to display the remote site on your front projection screen. Remember to press the button again when you want to go back to the local view.

Can I save my materials to disc and take them with me?
Yes. In fact, instructors should take a floppy with them to save their material to disc until the networks are linked.
What is
NETnet?
The Northeast Texas Consortium or "NETnet" is the collaborative effort of 15 higher education institutions to bring a wide array of educational opportunities to 50 rural Northeast Texas counties containing 46% of the rural Texas population. First conceptualized by Lt. Governor Bill Ratliff, NETnet was also recommended in an East Texas higher educational need assessment conducted in 1994 by the National Center for Higher Education Management. NETnet's objective is to make available, via innovative technology applications, a diverse curriculum, specifically designed to meet the evolving needs of a highly competitive, yet geographically isolated, client population. The members are committed to a vision whereby the member institutions provide superior services to their east Texas clientele and maximize the return on investment made on the educational delivery system. Additionally, NETnet members can also serve as a demonstration site and provide leadership in the development of mechanisms by which other rural areas of the State can gain the benefits of postsecondary education and access to other services that are now beyond their reach.
The network links NETnet members in a large region of East Texas extending from Paris on the northern border of Texas, west to Athens, east to Marshall, and south to Huntsville. Colleges and universities participating in the project are Angelina College, Kilgore College, Northeast Texas Community College, Panola College, Paris Junior College, Sam Houston State University, Stephen F. Austin State University, Texarkana College, Texas A&M - Commerce, Texas A&M - Texarkana, Texas State Technical College, Trinity Valley Community College, Tyler Junior College, The University of Texas at Tyler, and The University of Texas Health Center at Tyler.
What’s the process once I decide I’d like to teach a videoconference course?
Tell your NETnet contact person at your institution you’d like to schedule a class. They will fill out and send the completed conference request form to NETnet. Your contact person will receive an email verification that the conference has been scheduled. Email or call 903-877-7510 to get the name of your NETnet contact person.

Where/to whom does NETnet connect?
NETnet is linked to 15 colleges and universities, 17 K-12’s, and 10 healthcare facilities. We currently have or will soon have access to all UT and A&M components in the state including TTVN, GSC Vidnet and several regional educational service centers (6, 7, and 8).
What else can NETnet do?
We can provide global ISDN dialing capabilities; domestic calls will run between .25-.50 cents per minute (per channel). For example, if you want a 384K call (64K channel x 6) you should budget an average of $2.00 per minute. Budget foreign calls at $2.00 per minute, per channel. This is the only connection NETnet offers you that costs anything – all other connections are free.
Can NETnet give me a satellite downlink?
Yes. We have a dish for satellite links. Just let us know well in advance the details about your desired content; e.g. what time, channel, etc. Call us at 903-877-7510 if you have any questions.

How far in advance should I schedule my conference?
Schedule conferences AT LEAST 24 hours in advance. All conferences MUST BE SCHEDULED; no ad-hoc conferences are allowed. In the case of an emergency, contact NETnet ASAP and we’ll do our best to get you connected.

May a high school student take a university class from any university?
Yes, if the student meets the criteria for admission.
I understand that the community colleges will provide content to schools within
their own districts -- no VCT (Virtual College of Texas) required; just regular
registration – is that right?
"May provide" is more accurate than "will provide," because a college has first option on dual credit within their district, but it is not obligatory. They may offer VCT at their own discretion.
Is
there a central web site that shows which ISD’s each college serves?
Check out the map on the Dual Credit Students Page and mouseover the city name where the college is located. A list of ISD's served by that college will pop up.

What
if a desired course is only offered by an out-of-district school? Then the
student registers at their in-district school and takes the class thru VCT,
or registers at the out-of-district school and pays the out-of-district fees,
right?
Yes, the student has both options.
Suppose
a desired course is offered at both TJC and Kilgore College, but a Kilgore
HS student only wants to take it from TJC. If this student is willing to pay
the out-of-district fee, is s/he allowed to take the course from TJC?
If the student wants dual credit, s/he must go to the college that has a contract with his/her ISD, since offering dual credit for a course is based on an agreement with a school/school district. If the student wants college credit only, then the student may go where s/he likes.
Are the high school counselors the people who will contact the college VCT
representative?
Are the high school counselors the people who will contact the university
– and who will they ask for?
These two issues are the ISD/school's choice, not THECB’s (Texas Higher Education Coordinating Board) decision to make.
Does
any of this change if we’re talking about adults (not regularly enrolled
students) taking evening college courses delivered to a high school?
Everything changes. Adults are subject to the same rules as any other member of the general public -- they aren't high school students.
Who
pays the tuition? Why do some ISD’s (and not others) help foot the bill/pay
for textbooks?
Tuition is at college's discretion. It could be that the student pays, the high school pays, or that the college waives tuition. Some colleges choose to charge, others don't and rely only on state reimbursement for contact hours.
If the college is providing a course that the high school MUST provide for their students and charging tuition, the ISD would be the one to pay - not the students. After all, HS students don't pay their teacher's salaries, the school does.
For dual credit courses - courses that the high school is NOT required to offer their students- the issue of costs/payment can be negotiated. A contract would usually spell this out.
How are the scheduling/holiday discrepancies worked out?
There is no formal rule/regulation regarding schedules. This is a matter for the ISD and college to work out.
Do
community college district lines apply to both videoconferencing and online
courses?
Yes, if the college is providing instruction for groups of students based on a contract with the ISD. If the students are receiving both HS and college credit, dual credit rules still apply --the medium of delivery does not matter-- the students go where the ISD has a contract. However, some students may choose to enroll in online courses for their own purposes--as individuals, outside of a contract. In such cases district lines would not apply, regardless of the delivery medium.
Are
the students given two grades – one for their high school transcript
and one for their college transcript?
Yes, students get two grades, thus the term "dual credit."
What’s
the difference between “dual” credit and “concurrent”?
The meaning of the terms "dual" and "concurrent" depends on who is using them, but both terms mean receiving both kinds of credit (HS and college) from the same class.
